Set up custom roles and permissions

1up ships with four built-in roles, but you can also build your own roles with exactly the permission mix your team needs. This guide walks through creating, renaming, assigning, and deleting custom roles in your workspace.

Before you start: Only Admins and Super Admins can create and manage custom roles. Each workspace supports a maximum of five custom roles.

Open the Roles & Permissions tab

  1. Go to Settings.

  2. Select the Roles & Permissions tab.

  3. Review the four built-in roles:

    • Super Admin

    • Admin

    • Collaborator

    • Partner

These are shown alongside any custom roles already created in your workspace.

Create a custom role

  1. Click the plus icon at the end of the role columns.

2. Enter a name for the role in the Add New Role dialog.

3. Click Next. The new role appears as the last column in the permissions table.

4. Select the permissions you want to grant by clicking on the check. You can combine permissions in any way across the list.

Note: The final four permissions in the list are reserved for Admins and cannot be granted to any custom role.

Rename a custom role

  1. Go to Settings → Roles & Permissions.

  2. Select the custom role you want to rename and click the three dots icon. Select Rename

3. Enter the new name.

4. Click Save. The updated name appears in the role column.

Assign a custom role to a user

  1. Go to Settings → User Management.

  2. Find the user whose role you want to change.

  3. Select the new custom role from the role dropdown.

4. Click Change.

5. Review the confirmation message showing the user's current role and new role, then click Yes.

The user's permissions update immediately. You can repeat this for any user already registered on the platform.

Delete a custom role

  1. Go to Settings → Roles & Permissions.

  2. Select Delete on the custom role you want to remove.

  3. If no teammates hold the role, confirm the deletion in the warning message.

4. If one or more teammates hold the role, the system lists those users and asks you to pick a replacement role for each one.

5. Select a replacement role for every listed teammate, then click Delete.

Once deleted, the custom role no longer appears in the Roles & Permissions tab. You can create a new custom role in its place at any time, as long as your workspace stays within the five-role limit.
