Auto-Assign Q&A by Topic

When 1up automates a questionnaire, it reads each question, sorts it into a topic, and assigns it to the teammate who owns that topic. An admin sets the topic-to-teammate mapping once in Settings, and 1up handles the routing every time a questionnaire finishes automating.

This replaces the manual work of reading through hundreds of answered questions and sending each one to the right expert.

The four built-in topics

Topic

Covers

Sales

Purchasing process, pricing, company leadership, and company details answerable from marketing materials

Product

Product features and capabilities, non-technical

Legal

Contracts, terms of service, and similar legal matters

Technology

Architecture, platforms, security, APIs, data privacy, infosec policies, and certifications

Questions that do not clearly fit one of these topics are left uncategorized and are not auto-assigned. 1up does not guess.

Note: Before you start

  • Auto-Assign by Topic must be enabled for your workspace. If you do not see the section described below in Settings, contact 1up support to have it turned on.

  • You need admin access to set up the topic-to-teammate mapping.

Set up the mapping

You only need to do this once.

  1. Go to Settings and select Workflow.

2. Find the Auto-Assign by Topic section, which shows a table of the four topics.

3. Toggle on the topic you want to route, for example Technology.

4. In that row's Select User picker, choose one or more teammates to own the topic. A topic becomes active once it has at least one assignee.

5. Repeat for any other topics you want to route, then leave Settings. Your changes save automatically.

See auto-assigned questions

  1. Upload a questionnaire and run automation on it. A questionnaire with a mix of question types shows the feature best.

2. Once automation finishes, open the completed questionnaire.

3. Each classified question shows its assignee, and those teammates are notified. Uncategorized questions stay unassigned.

Find the topic label

Open a question's Label dropdown. Below the System Labels divider, you will see an orange Topic: [name] label. 1up applies this label, so it is read-only and cannot be unchecked.

Filter questions by topic

In the questionnaire's filter bar, open the Topic filter and select a topic. The list narrows to only the questions in that topic.
