1up makes it easy to quickly validate your use case. The free trial allows you to automate large questionnaires as well as single answers. You are able to upload multiple documents and data sources to your knowledge base, as well as thousands of URLs from your company website.
Here’s a short demo of how 1up works:
Who this guide is for
You want to automate answers to RFPs, security questionnaires, and customer questions that distract your team. Whether you’re comparing 1up against a manual process or tools, this guide will provide you with best practices to quickly achieve success.
Use cases 1up excels at:
Answering sales questions and requirements about your products and services.
Handling long, complex questionnaires in Excel, Word, and Web formats.
Responding to questions in Slack, MS Teams, and GoogleChat.
Query formats that perform well in 1up:
Do you meet SOC2 compliance?
What key features differentiate your products?
Explain the findings from your most recent audit.
Do you provide a support plan? If so, outline your support tiers.
Does your product integrate with Microsoft Azure AD?
The vendor must meet HIPAA compliance.
Query formats we do not recommend using 1up for:
Provide a 5-page summary outlining how you will use the funds from this grant.
Create a pricing page for us with a best and final offer.
Explain how you meet the requirements of this RFP.
You’ll find that 1up performs best with direct queries in the form of a question or a statement that can be answered by your company’s webpages or uploaded documents.
Setup Your Knowledge Base
Your 1up Knowledge Base (KB) is the heart of the system.
1up is only allowed to answer questions based on your knowledge base. It will not provide any information that isn’t already in your KB. This is how 1up ensures accurate responses are generated using sources you trust.
Sources can include website URLs and documents in Word, PDF, and Excel format.
Connect your Website URLs
1up automatically ingests hundreds of URLs from your website to build a foundation of knowledge about your products. We recommend adding specific pages you think would improve 1up’s ability to generate answers.
Upload Documents
In addition to the many URLs 1up pulls in from your site, we recommend uploading 10-20 of your best product and compliance documents to give 1up the best foundation to generate answers.
These should include:
Previously completed questionnaires
Product & service documentation
Security and compliance policies
Sales and marketing assets
Migrate from Another Tool
1up's Migration Assistant allows you to import knowledge from other tools such as Loopio, Responsive, and more. This is particularly helpful when important large amounts of Q&A or FAQs.
Make sure your import is in CSV or Excel format. Once uploaded, 1up will automatically optimize the imported data for answer generation.
Add Knowledge Connectors
1up also allows you to pull knowledge from popular data repositories. All of our connectors are 3rd party approved integrations having undergone extensive security reviews to ensure your data is securely connected to 1up.
Confluence
SharePoint
Notion
Egnyte
Salesforce
Google Drive
OneDrive
How many documents should I connect to my KB?
You don’t hundreds of documents in your knowledge base. We recommend a “less is more” approach here. Start with 10-20 of your latest product, security, and compliance documents. You can always add more as you notice gaps in 1up’s ability to answer questions.
Remember, when it comes to building a knowledge base, Garbage in = garbage out. Focus on connecting high quality documents that 1up can use to generate great answers.
Tag Your Knowledge
If you have multiple products or lines of business, you want 1up using the correct sources to generate answers.
For example, if you’re asking about Product A, you wouldn’t want 1up to be generating answers about Product B. This is why it’s important to segment your knowledge using Tags.
When it's time to generate answers, you can select the appropriate tags you want 1up to use. This means all sources that don't use these tags will be excluded from answer generation.
Here's what tags look like when automating a questionnaire:
You can also apply tags in Ask 1up:
You can also choose which tags 1up should use when responding in Slack, Teams, or Google Chat. This is helpful if you want certain sensitive knowledge sources to be excluded from answers in company chat channels.
Head to your 1up Settings screen to set up tags for Chat apps:
You can tag individual responses as well. Anytime you "Improve Answer" to teach 1up a response, you can set tags so that the response is included in that tag group. This gives you complete control over how responses are saved and retrieved from your Knowledge Base.
To view your approved responses, head to your Knowledge Base -> Human Approved Responses.
Tagging Best Practices
You can add multiple tags to Knowledge Base items.
You can use multiple tags when automating answers. Doing so treats tags as an OR function. Every source with those tags will be used for answer generation.
Tag names are entirely up to you. Most users tag based on product name, business line, department, or category.
You should tag URLs as well as document uploads.
If documents are to be treated as foundational to all answers, we recommend tagging them "global" or something similar so they are visible in the tags list.
Ask 1up to Test Your KB
Once your knowledge base is set up we recommend asking 1up questions to make sure everything is working. Head to the Ask 1up tab and try out a few questions about the documents you just uploaded:
The Ask 1up feature is best for fast answers to questions under 250 characters in length. For longer, complex queries, we recommend uploading them to the Automate Questionnaires tab.
Make sure your Knowledge Base documents are marked “Ready” before asking about them. If you notice any issues with answer generation, reach out to [email protected]
Optional: Try Different Answer Sources
When working with a large knowledge base, you can control what sources 1up can use for generating answers by selecting between URLs, Documents, and specific tags:
Tagged Sources: Questions will be answered using information from specific documents you tagged in your Knowledge Base. Here’s a reminder of how to use tags.
Automate Your First Questionnaire
With your KB setup you should be able to test a questionnaire with 1up. Head to the Automate Questionnaires tab to upload it.
Don’t have an RFP/questionnaire you’re working on? That’s fine, you can evaluate 1up with an old one. This is a great way to quickly test 1up’s ability to complete your questionnaires. Just make sure you delete the answers first.
You will be asked to 1up allows you to choose your preferred answer length, language, and sources. This step is also an opportunity to choose specific sources you want to use based on the tags you set in your Knowledge Base.
Here’s a short demo of what that looks like:
Excel Questionnaires
1up extracts questions from rows, tabs, and columns in XLS and XLSX files. It then analyzes the questions and generates answers based on your knowledge base. 1up will identify drop-downs and allows you to export answers in the original format.
Word Doc Questionnaires
1up extracts questions and generates answers from Word Docs in any format. Questions are extracted and answered automatically. 1up allows you to export answers in Word Doc format as a new file.
For free-form questionnaires where questions are not structured in a list or table format, we recommend using the Ask 1up tab to generate answers.
PDF Questionnaires
1up extracts questions and requirements from from PDFs to generate answers. You can export answers as Word Doc format. PDF exports are not available at this time.
Web-Based Questionnaires
The 1up browser extension enables you to complete questionnaires directly on the web. Simply highlight a question and 1up will generate an answer for you. To get started, check out our browser extension guide.
